Virtual Depot Facility

Our newly remodeled Jamestown, NY facility is an official NY state Empire Zone certified site and is equipped with the latest scanning technology as well as a secure Data Center. All production work is backed up on a daily basis. Backup tapes are stored off-site on a rotating basis as an additional precaution.

To assist those customers in a highly paper driven environment, especially healthcare and local government, the new document and media storage facility will provide scan on demand services for paper records, books, engineering drawings, magnetic data, microfilm and X-rays. It also will help users comply with regulations to avoid costly fines, penalties and legal liability.

Virtual Depot, upon client's request, can provide, on a subscription basis, remote site PC and server backup services and can restore a full system and all its applications in the event of an outage or other disruptions in service at the client's site.

Facility Physical Description:
The production scanning and programming lab area is currently located inside a brick construction building with approximately 28,000 sq. ft. in size. Two independent heating and cooling systems operate in the Data Center, scanning, prep and programming area. Special Vault rooms with no windows and all brick walls are available. The Inactive Record storage facility is equipped with a sprinkler system and is heated.

Security Systems:
The building is equipped with 24/7 video surveillance, “smart card” access control, infrared motion detectors, sound, intrusion, glass detection and heat/smoke detection systems. These systems are wired to 24 hour monitoring service provided by professional security organization. The area is well lit at night.

Access to the Data Center and scanning facilities is limited to a single point of entry in the front of the building through a steel door with a magnetic lock smart card system. Facility access is based on permissions granted on smart card. There are four separate compartments inside the facility with limited access. Staff without clearances do not have keys or security access codes. Absolutely no other party has access. Virtual Depot requires all visitors to sign in and out of the facility at all times. A member of the facility administration staff routinely checks this log.

Each staff member is required to complete a DEA questionnaire, sign confidentiality and non-disclosure agreement and a HIPAA Disclosure Agreement.
